Q. Do I have to be registered for the NSC 2009 Congress & Expo before I make a hotel reservation?

A. No, you don't have to be registered for the NSC 2009 Congress & Expo before you make a hotel reservation. We recommend that hotel reservations are made before July 17, 2009 to take advantage of EARLY rates and best availability.
A credit card will be required to guarantee the reservation, however, you will not be charged until approximately 21 days before the NSC 2009 Congress & Expo.

A. Rates quoted are based on single/double occupancy. Additional adults, children, rollaway beds, and other items may be subject to additional charges.

Q. Do the hotel room rate quotes include tax?

A. No, the hotel room rate quotes do not include tax. The room tax in Orlando, Florida is 12.5% - 13.5%.

Q. Is there a deposit required when I make a hotel reservation?
|
|
|
A. When a hotel reservation is made, a credit card will be required to guarantee the reservation. However, Ambassadors/NSC Hotel Reservation Services does not charge credit cards. The official NSC 2009 Congress & Expo hotels are responsible for charging the credit cards. To review specifics on your hotel's deposit policy, please refer to your written confirmation.
If you choose to pay for your room with a check, the check should be in the amount of one night's room rate plus current room tax of 12.50% - 13.50%. In order to complete processing, all checks must be received with your hotel request. Checks must be drawn in U.S. funds from a U.S. bank. The deadline for check payments is September 24, 2009.

Q. What credit cards are accepted by the official hotels of the NSC 2009 Congress & Expo?

A. Most of the official NSC 2009 Congress & Expo hotels accept the following credit cards: American Express, Diners Club, Discover, MasterCard, and Visa. In order for your credit card to be a valid method of payment, the month and year of the expiration date must be after October 2009.

A. We encrypt all of our sites using SSL secured websites. This includes both the block management site as well as the individual reservation site.

Q. Will I receive acknowledgement when I make a hotel reservation?
|
|
|
A. Yes, you can expect to receive acknowledgement within 24 business hours of when you made the reservation.
The preferred method of acknowledgement is via email. However, if an email address is not provided and a fax number is, you will receive your acknowledgement via fax. If neither an email address nor a fax number is provided, your acknowledgement will be sent to you via U.S. Postal Service. (NOTE: Your acknowledgement may take longer than 24 business hours to reach you if it is sent via the U.S. Postal Service.)
The confirmation number (located in the upper right-hand corner of your confirmation) should be used for any further correspondence with Ambassadors/NSC Hotel Reservation Services.

Q. Can I use a company credit card to pay for a hotel room?
|
|
|
A. Yes, a company credit card can be used to pay for a hotel room. However, most hotels have specific requirements regarding the use of a credit card that is not issued in your name.
If you know in advance that you will be using a company credit card, please request a credit card authorization form (this form should be requested directly from each the hotel) as soon as you have received your confirmation from Ambassadors/NSC Hotel Reservation Services. The individuals authorized to use this credit card will need to complete the form and fax it back to the hotel along with a copy of the credit card front and back. In most cases, the hotel will also require a copy of the driver's license of the credit card signer.

Q. What is the cancellation policy for the official hotels of the NSC 2009 Congress & Expo?
|
|
|
A. Cancellations should be made through Ambassadors/NSC Hotel Reservation Services. The cancellation policy is stated on your confirmation letter and may vary by hotel. If you do not cancel a reservation prior to the specified cancellation period, the hotel will charge a penalty of one night's room rate per room plus tax to the credit card given to reserve each room.
Cancellation numbers can only be obtained by contacting an Ambassadors/NSC Hotel Reservation Services customer service associate. When cancelling, it is always advisable to ask for a cancellation number and the name of the agent who took the cancellation.
